Lesson 08Telephone Etiquettes
Ms. Ishara Weerasinghe
This lesson was about proper telephone etiquette and how it help you sound professional and respectful during phone calls. Whether it's at work, school, or any formal place, how you talk on the phone affects the impression you give. The lesson gave simple tips on how to handle calls the right way, from answering quick to being polite and clear.
Important Rules to Follow
🔸 Always speak clearly and directly into the phone or headset
🔸 Answer within 2-3 rings whenever possible
🔸 Be polite and respectful throughout the call
🔸 Check your surroundings for noise
🔸 Forward calls carefully
Handling Interruptions
🔸 If you need to pause the call, ask the caller politely.
🔸 Don't put the receiver down without placing the caller on hold
🔸 Never block the mouthpiece with your hand or chest thinking it will mute your voice
Call Screening
🔸 Try not to screen calls unless absolutely necessary.
🔸 Screening can create a bad impression; be direct and helpful instead.
What i learnt 🎯
✅ Always be respectful and polite when speaking on the phone.
✅ Speak clearly into the receiver and avoid distractions like eating or chewing.
✅ Answer calls quickly within 2 to 3 rings shows you're attentive and professional.
✅ If you get interrupted, ask the caller to hold politely and use the hold button properly.
✅ Never leave the receiver open or talk near it while not on hold.
✅ Avoid screening calls unless absolutely needed; be open and helpful instead.
✅ Small actions, like proper greetings, clear speech, can have a strong positive impression.
What was interesting 💡
What was interesting to me was how many people forget that even small things like chewing gum or not using the hold button can seem rude or unprofessional. I didn't know people can still hear you if the call isn't put on hold right. Also, I didn't think call screening could affect public relations, but now I see how being open and respectful really makes a difference.
